Any reference to we, our, us, or the company within this policy refers to ThinkDippy.

The company is committed to protecting and respecting your privacy. For any personal data you provide for the purposes of using our services, the company acts as the Data Controller and is responsible for storing and otherwise processing those data in a fair, lawful, secure, and transparent manner.

What personal data do we ask for and retain about you?

You may give us information about yourself by filling in forms, or by corresponding with us by phone, email, social media, or otherwise. This includes information you provide when you submit your document for proofreading, editing, copywriting, or formatting. The information you give us may include your name, address, email address, and phone number. We may hold proofread, edited, or formatted documents or copy written by us.

Why do we need your personal data and who has access to it?

The reason we need your data is to be able to provide the services you have requested and to facilitate the processes related to the services we offer. Our lawful basis for processing your personal data is that we have a contractual obligation to you as a client to provide the services you are requesting.

Reasons we need to process your data include:

  • Sharing personal data with company staff to assist them with responding to your requests
  • Analysing anonymous data to monitor company trends and to assist with the development of the management of the company
  • To send you information that is relevant to the services you have previously requested, such as offers and discounts and any company updates.
  • Processing order forms and payments
  • To respond to queries and complaints
  • Sharing data with staff to provide information about company activities, enrolment updates etc.
  • Marketing and communications (including advertising and promotion of services, where separate consent is provided)

The company has the following social media pages: Facebook, Twitter, Instagram, and WhatsApp. All (potential) clients are free to join these pages. If you join one of the Social Media pages, please note that provider of the social media platform(s) has (have) their own privacy policies and that the company does not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data on the company social media pages.

Who do we share your personal data with?

  • The Government or our regulators: where we are required to do so by law or to assist with their investigations or initiatives
  • Police, law enforcement, and security services: to assist with the investigation and prevention of crime and the protection of national security
  • Any party approved by you

How long do we hold your personal data for?

We will hold your personal data on file indefinitely if you use our proofreading, editing, copywriting, or formatting services. Data for proofreading, editing, copywriting, and formatting clients are updated when a service is requested again. Any personal data we hold on you will be securely destroyed after five years of inactivity on that client’s account. Your data is not processed for any further purposes other than those detailed in this policy. 

Information that may be relevant to personal injury or discrimination claims may be retained until the limitation period for those types of claims has expired.  For personal injury or discrimination claims, this can be an extended period as the limitation period might not start to run until a long time after the event.

It is important to ensure that the personal information we hold about you is accurate and up-to-date, and you should let us know if anything changes, for example if you change your phone number or email address. Alternatively, you can contact us by using the details set out in the contact page on the website.

Your rights regarding your personal data

As a data subject, you may have the right at any time to request access to, rectification, or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data, including direct marketing; to the portability of your personal data and to complain to the Netherland’s data protection supervisory authority.

As a data subject, you are not obliged to share your personal data with the company. If you choose not to share your personal data with us, we may not be able to process your service request.

If you are unhappy with the way we are using your personal information, you can also complain to the Dutch authorities or your local data protection regulator. We are here to help and encourage you to contact us to resolve your complaint first.

Changes to this notice

We may update this privacy notice from time to time. When we change this notice in a material way, we will update the version date at the bottom of this page. For significant changes to this notice, we will try to give you reasonable notice unless we are prevented from doing so. Where required by law, we will seek your consent to changes in the way we use your personal information.

Assignment Clause

If our business is sold in the future, the new business owner can have access to the data we have on file only in the same way as opted originally unless otherwise requested.
